About Us
Gujarat Technological University earned fame of having very robust system for conducting examination. The University has developed an ICT enabled examination management system to bring efficiency, punctuality and reliability in its various processes and has implemented system for digitization of exam form filling & exam fees payment, question paper receiving, hall tickets, question paper delivery, e-assessment, and result processing over the last many years. To make the process of examination smoother, University has divided the whole state into six zones namely Ahmedabad, Gandhinagar, Vallabh Vidyanagar, Rajkot, Surat and Bhuj. Zonal officers are deputed during exams in this zones. Various Universities visits Gujarat Technological University campus to explore possibility of adopting best practices of our Examination system. Examinations conducted by GTU are appreciated by many organizations/other Universities including PMO, AICTE and NAAC.
Functions
Examination Arrangements
Theory examinations and practical examinations/ viva voce examinations
- Determining the date and place of examinations
- Issuing timely notifications regarding examination schedules, exam centers
- Issuing instructions and orders to paper setters/ external examiners
- Make all necessary measures for smooth and fair conduct of examinations at examination centers
- Receiving Question Paper prepared by Faculty through Secure Online Question Paper Receiving System (SOQPRS)
Conduct of Examinations
- Appointing zonal officers, observers, and external examiners
- Issuing hall tickets
Theory examinations
- Transmitting Question Papers to exam centers which are located across the state through Secure Online Question Paper Delivery System (SOQPDS)
- Flying squads, observers, and University-appointed officials visit exam centers to ensure integrity and curb malpractice
- Answer Books are collected on the very same day as soon as examination for the day/session is over from all the colleges located in any of the six zone
- All answer books are collected on the same day immediately after the completion of each examination session from all colleges. They are then shuffled subject-wise, bundled, and packed in sets of 100 answer books.
The practical and viva voce examinations
- The Practical Examinations shall be conducted in accordance with the schedule and exam centers notified by the University
- For appointment of examiners for the practical examination, the appointment letter or email shall be sent well in advance before the commencement of the respective examination
- The Marks entry should be completed on the same day of the examination by external examiner
Control of Malpractice
- CCTV surveillance has been implemented in examination centers, and random verification is being conducted across various zones as well as at GTU
- Imposing appropriate punishments for use of unfair means (UFM) or other academic misconduct
- Debarring candidates and quashing results where malpractice is established
Assessment and Result Declaration
- Issuing assessment orders and allocating papers to faculty
- Overseeing assessment and evaluation of answer books
- Receiving and processing practical mark sheet covers
- Publishing examination results in a timely manner
- Publish result notifications on GTU website
- Issuing rechecking and reassessment orders
- Moderating rechecking and reassessment processes
- Processing rechecking and reassessment of answer books
- Publishing rechecking and reassessment results in a timely manner

Grade card and Provisional Certification
- Issuing Grade cards to students
- Preparing and issuing Provisional certificates to successful candidates

- Correcting student names in examination records
- Separate examinations are conducted for categories approved by the Academic Council, such as Sports, NCC/NSS, AIU, etc.
- Processing examination fee refunds

- Handling student queries related to examination
- Managing exam forms, including late submissions
- Processing term grant and elective subject entries
- Verifying pre-examination materials
- Resolving queries related to exam papers during examinations
